  • Overview / Responsibilities

    Wood Environmental & Infrastructure Solutions currently has an opportunity available in our Tampa, FL office for an Administrative Manager.

     

    Key Responsibilities

     

    • Produces high quality reports, presentations, or other documents as directed, compiling reports, researching information, and summarizing publications
    • Type and proofread memoranda, more complex reports, letters, charts, graphs and e-mail messages using word processing, spreadsheet
    • Provide high level clerical and administrative support to all members
    • Exercise independent judgment in adapting and applying procedures to address normal and unusual situations
    • Answer and screen telephone calls, handle inquiries, and direct callers to appropriate personnel; Occasional main switchboard relief
    • Make meeting and travel arrangements as requested
    • Coordinates and schedules conference calls, meeting and events for group
    • Accurately gather and compile information for reports, as needed
    • Ability to interact with senior level staff and employees on a regular basis
    • Ability to prioritize work; Make independent decisions regarding planning, organizing and scheduling own work
    • Ability to work under pressure or aggressive deadlines and handle multiple priorities
    • Ability to handle confidential and sensitive information in an appropriate manner
    • Handle routine and sometimes more complex inquiries and information requests
    • Experience with client relations
    • Assuring proper file maintenance
    • Flexibility to work outside normal business hours as required
    • Problem solving, solution-oriented, proven self-starter, and strong organization skills
    • Attention to detail
    • Professional communication skills
    • Ability to solve problems and make decisions within established limits
    • Other duties as assigned

    Skills / Qualifications

    • High School Diploma or equivalent
    • Valid driver’s license is required
    • Minimum of 10 years direct experience in an Office Management or Executive Assistant role
    • Professional communication skills – Excellent interpersonal, verbal and written communication skills
    • Highly proficient in the MS Office Suite: Outlook, Word – Advanced, Excel and PowerPoint
    • Proficient in all aspects of secretarial and organizational skills (proofreading, typing speed 50 + wpm required, etc.)
    • Knowledge of accounting terms / procedures may be required
    • Knowledge of Civil and/or Environmental Engineering Consulting field is very desirable
    • Professional appearance and courteous manner
    • Ability to operate office equipment and applicable computer software applications
    • Ability to lift 30 lbs. without painful stress or injury
    • Ability to sit long periods of time without painful stress or injury
    • Must pass drug test, background check and must have a satisfactory driving record in accordance with the Company's driving (MVR) policy
