  • Overview / Responsibilities

    Wood Environment & Infrastructure Solutions is currently seeking a Project Administrator to join our team in Portland, ME.


    Key Responsibilities


    • Type and proofread memoranda, more complex reports,  letters,  charts, graphs and e- mail messages using word processing, spreadsheet, and data management applications
    • Maintain records and files  in  hard copy and/or automated data base format
    • Answer and screen telephone calls, handling  inquires or directing them to the appropriate information source
    • Perform a variety of accounting-related clerical duties, Accounts Payable entries into lmageNow, Procurement, checks records, and prepares invoice backup
    • Compiles accurate data to prepare reports as needed
    • Make meeting and travel arrangements  if required for multiple staff
    • Handle routine and sometimes more complex inquiries and information requests, Prepare and process paperwork necessary for purchase orders, invoice payment,
    • expense reports, etc.
    • Perform more complex office duties as requested
    • May assist and help mentor junior level administrative personnel
    • Routine,  but extensive contact with employees,  clients,  subcontractors, vendors, and service personnel
    • May interact with more senior level staff and employees on a regular bases
    • Other duties as assigned

    Skills / Qualifications

    • High School Diploma or equivalent
    • 0-2 years of related experience
    • Some formal secretarial or business training
    • If the job requires solo work assignments outside the office,  then a valid driver's license is required
    • Requires continuous use of technical and business vocabulary,  and detailed knowledge
    • of company operations, organizational  procedures and personnel
    • Within established guidelines, makes independent decisions regarding planning, organizing,  and scheduling own work
    • May frequently coordinates work for several other support staff members
    • Highly proficient with word processing and spreadsheet software packages
    • Ability to use a personal computer
    • Ability to operate common office equipment (photocopying, facsimile, transmittal, telephone call director, etc.)
    • Proficient in all aspects of secretarial and organizational skills (proofreading, typing speed 50 + wpm may be required, etc.)
    • Knowledge of accounting terms/procedures may be required
    • Flexibility to work outside normal  business hours as required
    • Familiarity with company,  office group and policies and procedures
    • Ability to work under pressure or deadlines and handle multiple priorities
    • Ability to handle confidential and sensitive information  in an appropriate manner
    • Professional appearance and courteous manner
    • Attention to detail
    • Professional communication skills
