  • Overview / Responsibilities

    Wood Environment & Infrastructure Solutions is currently seeking a Project Administrator to support our construction and engineering staff in the Kellogg, Idaho project office. The ideal candidate would have good administrative skills, have worked in a construction related services office for 5 plus years and; have a working knowledge of construction office organization, filing and billing. The candidate must have a positive attitude, be highly organized, detail oriented and flexible. Must be capable of multi-tasking and completing work to a high standard, while meeting strict deadlines.  

     

    Key Responsibilities

    • Support reporting requirements for invoice submittals and monthly status reports
    • Provide administrative support to Project Managers
    • Assist with construction submittal preparation and calls to vendors
    • Assist with invoices and other supporting task as required.
    • Clerical and administrative duties such as: word processing and preparation of correspondence, bid requests, phone calls, material and equipment research, filing, web site posting, etc.,
    • May type and proof read basic memoranda, reports, letters, charts, graphs and e-mail messages using word processing, spreadsheet, and data management applications
    • Maintain records and files in hard copy and/or automated data base format as directed
    • Answer and screen telephone calls, handle inquiries or direct them to the appropriate information source
    • Handle routine maintenance requests/complaints or coordinate with more senior level administrative personnel for more complex requests/complaints involving janitorial, electrical, etc.
    • May order and maintain office supplies
    • Provide support to more senior Administrative staff as needed
    • May assist/coordinate moving and storage of office furniture and equipment; may set-up conference/training rooms for meetings
    • Make meeting and travel arrangements if required
    • Handle routine inquiries and information requests

    Skills / Qualifications

    • High School Diploma or equivalent
    • Proficiency in Word, Excel, PowerPoint and Outlook are preferred
    • Excellent interpersonal & communication skills 
    • Experience in handling multiple priorities effectively
    • Ability to Exercise discretion and maintain confidentiality
    • Ability to use a personal computer
    • If the job requires solo work assignments outside the office, then a valid driver’s license is required
    • Ability to operate common office equipment (photocopying, facsimile, transmittal, telephone call director, etc.)
    • Ability to become familiar with company, office group and policies and procedures
    • Ability to work under pressure or deadlines and handle multiple priorities
    • Ability to handle confidential and sensitive information in an appropriate manner
    • Professional appearance and courteous manner
    • Attention to detail
    • Good communication skills
