Overview / Responsibilities

Wood is currently seeking a Proposal Coordinator to join our team in Beltsville, Maryland.


Key Responsibilities

  • Supports Engineering staff with coordination, development and production of proposals
  • Coordinates the proposal process; extracts requirements from RFPs; creates the compliant template document; develops and promotes the schedule for development, review, production and delivery
  • Contributes creativity, project descriptions, resumes and boilerplate
  • Creates or coordinates needed figures, tables and other graphics
  • Participates and contributes to team meetings and calls during proposal development
  • Acts as the point of contact to solicit, receive and integrate content from subconsultants and partners
  • Serves as the go-to resource providing content to intracompany proposal requests
  • Supports weekly, monthly and quarterly business development meetings
  • Supports capture planning, through research, briefings, and background development
  • Administers and monitors action items and opportunity pipeline
  • Maintains, local pre-qualifications, certifications and licenses
  • Supports projects having complex report requirements
  • Contributes creativity and style to project deliverables
  • Plans and organizes project meetings and events that invlove meeting space, hotel accommodations, group travel arrangements and expense reporting
  • Coordinates the office social program of service awards, monthly lunches, quarterly outings, annual picnic and holiday party
  • Interfaces with external and internal clients, business partners, subcontractors, vendors and suppliers by telephone, email and at meetings
  • Occasionally attends professional events with other team members

Skills / Qualifications

  • Bachelor’s degree in a related field is required, with 2+ years’ experience since graduation
  • Highly organized, independently driven and able to work with a variety of team member styles
  • Strong and open communication skills, written and oral
  • Excellent skills with MS Office Word, Excel & PowerPoint, including confident spreadsheet ability
  • Strong online research and synthesis skills
  • Attention to detail, an eye for visually appealing presentation and high-quality work
  • Experience in any of MS Project, Acrobat, Photoshop, InDesign, Access is advantageous
  • Must pass drug screen, background check, and must have a satisfactory driving record in accordance with the Company’s driving (MVR) policy
