Job Description

Overview / Responsibilities

Wood is seeking a Subcontract Administrator to administer procurements consistent with established policy, procedures, and prudent business practices at an EPC union project jobsite located in Trenton, New Jersey. It may be necessary to spend some time in our Tucker, Georgia and/or Minneapolis, Minnesota offices initially prior to being present on site.


Key Responsibilities

  • Support the Project Manager and/or Procurement Manager in negotiations with subcontractors and vendors
  • Ensure that supporting documentation is provided for all pricing to support the award of the subcontract or purchase order
  • Prepare, issue, evaluate, and award subcontracts and/or purchase orders and modifications of varying dollar value, risk, creativity and complexity for services and commodities
  • Ensure compliance with company procurement/subcontracting policies and procedures and good business practices
  • Ensure timely submittals and reviews of subcontractor documentation
  • Enforce contractual provisions as required
  • Resolve routine discrepancies arising from subcontractors' performance
  • Review and approve subcontractor and vendor invoices for compliance with contract terms and conditions
  • Issue Field Work Orders for Contractor or Owner changes in scope
  • Review subcontractor’s Change Order requests against agreed-to scope of work and terms of agreement and make recommendation to Project Management
  • Conduct discussions and negotiations of terms and conditions with all levels of supplier/subcontractor management and obtain legal review and management approval of changes to standard terms and conditions
  • Input and retrieve procurement documentation into on-line document database
  • Prepare procurement status reports as required
  • Perform subcontract closeout activities
  • Perform additional assignments per project manager's, construction manager's, or procurement manager’s direction

Skills / Qualifications

  • Four-year degree in business-related field
  • Minimum of five (5) years of related experience managing and administering construction subcontracts
  • Proven experience dealing with union subcontractors in the Northeastern US
  • Working knowledge of word processing, spreadsheets, database and purchasing system software
  • Excellent organizational skills
  • Strong leadership and management skills required
  • Demonstrated ability to effectively manage costs and control schedule
  • Excellent communication and interpersonal skills, plus demonstrated ability to work with multinational and multi-disciplined personnel
  • Strong client relations skills are a must
  • Ability to communicate effectively in English both orally and in writing
  • Ability to read and comprehend complex instructions, correspondence and memos
  • Ability to solve practical problems and deal with a variety of concrete and abstract variables in situations where only limited standardization exists
  • Excellent knowledge of and commitment to safety requirements
  • Identifies and resolves problems in a timely manner
  • Understands business implications of decisions
  • Follows through on commitments; meets productivity standards
  • Treats people with respect; works with integrity and ethically
