Job Description

Overview / Responsibilities

Amec Foster Wheeler is currently seeking an Administrative Assistant to join our team in Houston, TX. Under general supervision by management, provides administrative support in all capacities needed. Performs duties such as coordinating and setting meetings and conferences, obtaining supplies, working on special projects, preparing documents and correspondence and maintaining schedules, as required.

 

Key Responsibilities

  • Prepares presentations, reports, letters and routine correspondence
  • Responsible for answering telephones, arranges conference calls and responds to routine business questions or taking and delivering messages as needed
  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer
  • Organizes and maintains file system, and files correspondence and other records, as needed
  • Coordinates manager's schedule and makes appointments
  • Arranges and coordinates travel schedules and reservations
  • Coordinates and arranges meetings, prepares agendas, and reserves and prepares facilities
  • Makes copies of correspondence or other printed materials, as requested by management
  • Prepares outgoing mail and correspondence, including e-mail and faxes
  • Conducts research and compiles and types statistical reports
  • Verifies time entry for department (s)
  • Orders and maintains supplies, and arranges for equipment maintenance, as needed
  • May be responsible for independent tasks as assigned by management
  • May direct other clerical staff in the department
  • Performs other related duties as assigned by management

Skills / Qualifications

  • High school diploma or equivalent required; Business school, Associate’s degree, or equivalent is a plus
  • Over 5 years of related experience required
  • Proficient in MS Word, Excel, PowerPoint and other necessary software packages
  • Speaks clearly and persuasively in positive or negative situations
  • Listens and gets clarification; responds well to questions
  • Writes clearly and informatively; edits work for spelling and grammar
  • Varies writing style to meet needs; presents numerical data effectively
  • Able to read and interpret written information
  • Uses time efficiently
  • Approaches others in a tactful manner; accepts responsibility for own actions
  • Demonstrates accuracy and thoroughness; applies feedback to improve performance
  • Adapts to changes in the work environment; ability to maintain organization in a changing environment
  • Follows instructions, responds to management direction

Physical Requirements

While performing the duties of this job, the employee is frequently required to walk, stand and sit and may require close vision work
